Overview

This policy explains what information Help Hive (“we,” “us”) collects, how we use it, and the choices you have. It covers both account owners who build assistants and visitors who interact with a published assistant.

Information we collect

From account owners:

  • Account details — your email address and authentication credentials.
  • Knowledge base content — the web pages you crawl and the files and spreadsheets you upload.
  • Configuration — assistant name, prompt, theme, logo, contact info, and custom domains.
  • Billing information — handled by Stripe; we store your subscription status and identifiers, not your card number.

From visitors to a published assistant:

  • The name and email address they provide before chatting (lead capture).
  • The questions they ask and the conversation history.
  • Basic usage data used for rate limiting and analytics.

How we use information

  • To operate the Service — index your content, generate answers, and publish your assistant.
  • To process payments and manage subscriptions.
  • To provide owners with analytics, captured leads, and knowledge-gap reports.
  • To secure the Service, prevent abuse, and comply with law.

AI processing

When a visitor asks a question, we embed the question, retrieve the most relevant excerpts from that assistant’s knowledge base, and send those excerpts plus the question to our AI provider, OpenAI, to generate an answer. OpenAI processes this data on our behalf as a service provider. Per OpenAI’s API policy, data sent through the API is not used to train their models. We only send the content needed to answer the question.

Storage and security

Data is stored with Supabase(PostgreSQL, authentication, and file storage). Each account’s data is isolated using database row-level security, and uploaded knowledge-base files are kept in a private storage bucket. Data is encrypted in transit. No system is perfectly secure, but we take reasonable measures to protect your information.

Service providers we share with

We do not sell your data. We share it only with providers that help us run the Service, under their respective terms:

  • OpenAI — generating AI answers.
  • Supabase — database, authentication, and file storage.
  • Stripe — payment processing.
  • Vercel — application hosting.
  • Resend — transactional email.

Owner responsibilities

If you publish an assistant, you are the controller of the visitor data it collects (names, emails, questions). You are responsible for having a lawful basis to collect it, disclosing your own privacy practices to your visitors, and honoring their requests. We process that data on your behalf to provide the Service.

Data retention and your rights

We retain your data while your account is active. You can export captured leads as CSV, and you can request deletion of your account and its associated data at any time. Depending on your location, you may have rights to access, correct, delete, or port your personal data — contact us to exercise them.

Cookies

We use strictly necessary cookies to keep you signed in and to operate the Service. We do not use advertising cookies.

International transfers & children

Your data may be processed in countries other than your own by us and our providers. The Service is not directed to children under 16, and we do not knowingly collect their personal information.
